T80 Contractor renewal plan
Contractor renewal plan

Which Copperline contractors at Varden Pay reach an end date before November 30, 2026, what Copperline recommends for each, and which client decisions are still open. The rule: raise every end date at least six weeks ahead, and record the client's decision at least a week before the contract ends. Prepared by Beatrix Ferraro, delivery director at Copperline Talent, for Anders Sundqvist, head of platform engineering at Varden Pay, and the Varden budget owner for each assignment. Issued Thursday, October 1, 2026.
Sample template: the firm, people, clients and figures are fictional.
Where the renewals stand
Two of the three end dates have been discussed with Varden Pay. The third, QA automation, has no recorded conversation and ends first.
Live example from the Dashboards app, shown with Varden Pay's demo data. Block dates move forward each week, so they can differ from the sample dates on this page.
The three assignments
Each row shows the end date, whether a renewal conversation is on record, what Copperline recommends and where the client decision stands. Days left are counted from Thursday, October 1.
| Assignment | Starts | Ends | Days left | Discussion on record | Recommendation | Client decision |
|---|---|---|---|---|---|---|
| QA automation contractor | Jun 22 | Fri Oct 16 | 15 | Extend three months | ||
| Site reliability contractor | Jun 8 | Fri Nov 6 | 36 | Extend three months | ||
| Data engineering contractor | Jul 20 | Fri Nov 13 | 43 | Extend five weeks, to Dec 18, as a bridge |
The other four Copperline contractors at Varden Pay end in December 2026 or later. Each is added to this plan when it enters its six week window.
End dates and decision points
The first bar in each group runs from the start of the assignment to its end date, and red marks the contract that ends first. The second bar is the six week renewal window, and the diamond is the date the client decision is needed, one week before the end date.

Recommendation, not a decision
Beatrix Ferraro recommends a three-month extension for the QA automation contractor and for the site reliability contractor, and a five-week extension to December 18 for the data engineering contractor as a bridge. Anders Sundqvist has agreed to bring the new QA budget owner to the QA decision. The client decides extension, change or end for every assignment, and no end date moves until the decision is recorded.
Decision steps for each renewal
QA automation contractor, ends Fri Oct 16
Site reliability contractor, ends Fri Nov 6
Data engineering contractor, ends Fri Nov 13
No renewal conversation is recorded for the QA automation contract
The Varden budget owner for QA changed in August, and the new owner has not been introduced to Copperline. That is why nothing is on record, although the six week window opened on September 4. Consequence: the contract ends Friday, October 16. If the decision is not recorded by Friday, October 9, there is no time to issue a contract change, and the QA automation work stops on the end date. Owners: Anders Sundqvist brings the new budget owner to the decision, and Beatrix Ferraro presents the three-month extension.

How to use this template
Keep one plan for each client account. List every contractor ending inside the next quarter, write the recommendation six weeks ahead, and record the client's decision before the end date.
| Variable | Meaning | Required |
|---|---|---|
{{client.name}} | Client organization the contractors work for | Required |
{{assignment.rows}} | Each contractor assignment with start date, end date and days left | Required |
{{renewal.window_weeks}} | Weeks before the end date when the renewal conversation must start | Required |
{{recommendation.text}} | Copperline's recommendation for each assignment | Required |
{{decision.status}} | Client decision for each assignment: open, extend, change or end | Required |
{{budget_owner.name}} | Client budget owner for each assignment | Required |
{{decision.due_date}} | Date the client decision is needed | Optional |
If a required value is missing, show Needs review in its place and hold the plan; never fill it with a guess. If the assignment record cannot be read, show Unavailable instead of the end dates.
