Member request ownership log

A member services lead logging an incoming member request at her desk

State on Sep 28, 2026 15 of 19 answered 2 requests aged past 7 days Client-visible

The log Callum Breckenridge keeps so that every request from a Basalt Creek Industries member has a named owner and an answer date on the day it arrives. Prepared by Callum, member services lead at the Workplace Safety Coordinators Association, for the Basalt Creek group administrator, Leonard Kalnins. It covers the 19 requests received from July 8 to September 28, 2026: access, certificate corrections, policy questions and roster changes.

Sample template: the firm, people, clients and figures are fictional, and the embedded view holds synthetic sample records.

Requests by type and state

Access and certificate corrections are where the two aged requests sit. Policy questions and roster changes each have one request open, and both have an owner. Every other request in the four groups is answered.

Open requests and renewal items

The view shows seven records for Basalt Creek Industries: four member requests and three renewal items. Read the Status column first. Owned and In progress mean a named person has the item. Waiting for employer and Waiting for owner mean nothing moves until that person acts, and the Due column shows the date by which it should.

Before you share this page with a client

This view is filtered to Basalt Creek Industries, but the database also holds other clients' records, including Merriweather Mining Services and Rellick Rail Services. Keep the embed on a view filtered to the client the page is shared with. The view holds some rows marked Internal only. Limit it to Employer-visible rows before you share the page.

The five records below are the ones the group administrator acts on or is waiting for.

From received to answered

Nineteen requests came in. Two are open with an owner and two aged without one, which leaves 15 answered. The aged requests are counted on their own because the delay is the finding, not the outcome.

Ownership rule

How a request gets an owner
On receiptThe request is logged the same business day and one named person owns it. A shared inbox or a group is never the owner.
Answer dateThe owner sets an answer date when the request is logged. The usual answer takes 2 business days.
Past 7 days without an ownerCounted as aged and escalated to Adaeze Obiora, who names an owner that day.
Who decides the answerStaff answer from the policy. Policy exceptions go to a committee or a qualified adviser. An authorized person approves the message before it is sent.
Roster changesLeonard Kalnins approves roster additions and removals. Staff add or remove names only after he does.
ClosingA request is closed when the member confirms the answer, or asks again and the request reopens.

Two requests waited more than 7 days without an owner

Certificate name correction. Raised Sep 8 in a personal inbox while a staff member was on leave. It had no owner until Callum took it on Sep 25, 17 days later, and it was 20 days old on Sep 28. Adaeze Obiora decided it needs no committee review. Next step: Callum corrects the certificate and confirms with the member by Oct 7.

Community access problem. Raised Sep 14 in the same inbox and taken by Callum on Sep 25. He answered it the same day. It stays In progress until the member confirms that access works, due Oct 7.

Consequence. Two members waited with no answer and no name to ask. A named colleague covers each personal inbox during leave and logs any request that arrives there.

Response steps

✓Log the request and name one owner
✓Find the policy and the earlier answers to the same question
Draft the answer and have an authorized person approve it
Send the answer and ask the member to confirm
Close the request, or reopen it and reset the answer date
Policy question

Owned Due Oct 5

The question is about moving a membership. Callum answers it from the group membership policy once the member confirms who is leaving and who is joining.

Roster change

Owned Due Oct 6

Callum has the two names of the new coordinators. Leonard Kalnins approves roster additions, so Callum adds them only after that approval.

Certificate

In progress Due Oct 7

Callum corrects the name on the certificate and confirms with the member. The record shows Adaeze's decision that no committee review is needed.
