T132 Night shift handoff board

Night shift handoff board

Two freight operators handing off the night shift on a dimly lit operations floor

Night of Sep 28, 2026 17 handed over, 15 confirmed 07:00 north plant callback missed Internal

Every active exception on the Hollowell Paper Products account at the night handoff, with its next deadline and the commitment made to the shipper, so the incoming operator confirms each one and the 07:00 callback to the north plant is not missed again. Prepared by the outgoing Quartzline Freight operator at each handoff for the incoming shift operator. Priyanka Raghunathan, Operations manager, assigns any unresolved item. Issued Thursday, October 1, 2026, for the handoff of Monday, September 28, 2026.

Sample template: the firm, people, clients and figures are fictional, and the embedded view holds synthetic sample records.

Exceptions handed over each night

Seventeen active exceptions were handed over on the night of Sep 28, up from 12 on Sep 22. The count rose on most nights. The mark on the chart is the callback to the north plant by 07:00, which was missed.

Live example from the Dashboards app, shown with Hollowell Paper Products' demo data. Block dates move forward each week, so they can differ from the sample dates on this page.

Open exceptions and shift handoffs

The view shows five Hollowell records: the night handoff of Sep 28 and the four service exceptions that produced conflicting updates to the plant. All five are owned by Priyanka Raghunathan. Read the Status column first: one exception is Escalated, one is Under review, two are In progress, and the handoff record itself is In progress until the full week is checked on Oct 5.

Internal page

This page stays inside Quartzline Freight. It records phone commitments, working notes and the names of people on shift. Share the approved status with the shipper through the account manager, and never share this page.

Callback to the north plantNight shiftNorth plantMissedSep 29, 07:00Call the north plant by 07:00

The first five rows are records on the board. The table lists the four exceptions on the board; the other 13 of the 17 are on the full handoff list. The last row is the commitment that was not on any record. It is listed here so the next operator sees it as a handed-over item.

The 07:00 callback to the north plant was missed

One commitment was missed on the night of Sep 28: a callback to the north plant by 07:00. It was agreed by phone at 22:40 and written on a notepad instead of the exception record, so the incoming operator never saw it. The plant waited for a call that did not come. From now on a commitment is a required field in the handoff. A promise made by phone goes into the record before the call ends, with the time it is due.

Two items had no next deadline

Of the 17 exceptions, 2 had no next deadline when they were handed over. Priyanka Raghunathan assigned both items. Each one gets a dated next deadline before the next handoff, and an item without one is not counted as confirmed.

The night's deadlines

The chart shows the one window that mattered on Sep 28. The callback was agreed at 22:40 and due at 07:00. Only those two times come from the record, and the confirmation window is the usual sample shift pattern.

If it is not in the record, the next shift does not know it exists. A notepad is not a handoff.

Confirmation checklist for the incoming operator

Work through the list before you take the first call of the shift.

Confirm before you take the shift
✓Read every handed-over exception and confirm its status with the outgoing operator
Check that each exception has a next deadline and a named owner
Read the commitments to Hollowell, and note any due before 07:00
Confirm the north plant commitments first, and put the call time in the record
✓Send updates to the plant only through Marcus Ellery, one approved status per exception
Write every phone commitment into the record before the call ends
Sign the handoff once all items are confirmed or assigned
  • Check the handoff record for a full week. Owner: Priyanka Raghunathan, Oct 5
  • Review the exception owners and the update rule with the night shift. Owner: Priyanka Raghunathan, Oct 7
  • Make commitments a required field in the handoff. Owner: Priyanka Raghunathan, done
  • Assign the two items without a next deadline. Owner: Priyanka Raghunathan, done

How to use this template

Fill in one board at each shift handoff. List every active exception with its next deadline and the commitment made to the shipper, and have the incoming operator confirm each row.

VariableMeaningRequired
{{account.name}}Shipper the handoff coversRequired
{{shift.date}}Night the handoff coversRequired
{{handoff.item_rows}}Each active exception with load, status, owner and next deadlineRequired
{{commitment.rows}}Each commitment made to the shipper, with the time it is dueRequired
{{handoff.confirmed_count}}Items the incoming operator has confirmedRequired
{{handoff.no_deadline_list}}Items with no next deadline, with the assigned ownerRequired
{{shift.sign_off}}Outgoing and incoming operators who signed the handoffOptional

If a required value is missing, show Needs review in its place and do not count the item as confirmed; never guess a deadline or a commitment. If the exception record cannot be read, show Unavailable for the item rows.
