Diligence request chase list

A diligence paralegal tracking document requests in a law firm matter room

Oldest open request 23 days 9 requests need clarification Lease assignment schedules due Oct 9 Client-visible

Where the 142 diligence requests for Corran Mill Bakery stand, who chases each one, and what the seller must send and by when, starting with the lease assignment schedules for the three bakery sites. Prepared by Teodoro Quintanilla, paralegal at Ashcombe Varley LLP, for the Solenne Foods deal team and the seller's advisers. Imogen Varley, partner, decides which items are legally sufficient and which are cleared. Status on Monday, September 28, 2026; issued Thursday, October 1, 2026.

Sample template: the firm, people, clients and figures are fictional, and the embedded view holds synthetic sample records.

Requests by stage

Of the 142 requests made to the seller, 118 have been received, 97 are lawyer reviewed and 84 are cleared. Nine of the received requests need clarification before anyone can review them.

Live example from the Dashboards app, shown with Solenne Foods' demo data. Block dates move forward each week, so they can differ from the sample dates on this page.

The chase list

The view below lists the requests the firm is chasing, with the owner, the status, the due date and the days open. Read the Needs clarification rows first: each one is waiting on a person outside the firm, and the Next step column says what that person must send. The view is a slice of the full request list and also holds matter intake items, nine records in all.

Before you share this page with a client

This sample view holds the records of three clients: two for Solenne Foods, three for Wexcombe Capital and four for Orley Brands. The database also holds other clients' records outside this view. Switch the embed to a view filtered to Solenne Foods before you send this page to the Solenne deal team or the seller's advisers.

Two of the records in this view belong to the Solenne acquisition and its companion matter:

Supplier agreement intake factsRequestedDarius OkonkwoOct 64Receive the three facts from Henrik Dahlberg by Oct 6

The supplier agreement intake item sits in this list because it is a request that must be answered before conflict review can run. It is missing 3 facts, including the counterparty legal name.

What each stage means

From requested to cleared
RequestedThe request has gone to the seller or to Solenne with an owner, a source, a confidentiality rule and a reviewing lawyer.
ReceivedSomething has arrived. A received request is not a satisfied request until a lawyer has looked at it.
Needs clarificationWhat arrived does not answer the request: a document is missing, unreadable, renamed or incomplete. The Next step column names exactly what is needed.
Lawyer reviewedThe reviewing lawyer has read the item and recorded a view on it.
ClearedImogen Varley has decided the item is legally sufficient for this deal. Only a lawyer clears a request.

Which areas are oldest

Each bar shows the days since the oldest uncleared request in that area was made. Leases and real estate is the oldest at 23 days, and no other area is past 14.

Live example from the Dashboards app, shown with Solenne Foods' demo data.

The lease assignment schedules are 23 days old and block four closing conditions

The seller uploaded the leases for the three bakery sites without the assignment schedules, and renamed the files. Three requests looked satisfied when they were not. Nobody saw the gap until an associate opened the leases against the request list.

What it blocks. Four closing conditions wait on the schedules: the landlord consents, the lease assignment instruments, the estoppel certificates and the lease disclosure schedule. The landlord consents must arrive by Oct 14 for the Oct 22 signing to stay realistic.

Owner and ask. Teodoro Quintanilla owns the chase. Henrik Dahlberg agreed to press the seller. The seller sends the three assignment schedules, under their original file names, with the schedules named as schedules, by Oct 9. Imogen Varley then decides whether the schedules are legally sufficient.

The nine requests that need clarification

Counts are sample figures taken from the request list on Sep 28. The oldest open request in each area is the figure from the chart above.

Weekly chase steps

The chase runs on the same rhythm every week, so the seller's advisers know when to expect it.

✓Mon Sep 28: status taken
✓Tue Sep 29: chase list sent to the seller's advisers
Thu Oct 1: Henrik presses the seller on the schedules
Mon Oct 5: status taken again
Fri Oct 9: lease assignment schedules due

The count below is the one the deal team sees at the top of every weekly status.

How to use this template

Update the list after every weekly status. Give each request an owner, a source, a due date and a status, and name exactly what is needed from whoever must answer.

VariableMeaningRequired
{{matter.name}}Matter the diligence list belongs toRequired
{{status.date}}Date the weekly status was takenRequired
{{request.stage_counts}}Requests by stage: requested, received, lawyer reviewed, clearedRequired
{{request.clarification_rows}}Requests needing clarification with owner, what is needed and due dateRequired
{{request.oldest_by_area}}Days open of the oldest uncleared request in each areaRequired
{{request.blocked_conditions}}Closing conditions each open request blocksRequired
{{request.reviewing_lawyer}}Lawyer who decides legal sufficiency for each itemOptional

If a required value is missing, show Needs review in its place and hold the list; never guess a count, a date or an owner. If the request record cannot be read, show Unavailable instead of the counts.

The live Dashboards blocks on this page show the Solenne Foods demo profile. Point each block at your own client's profile, or remove it, before you share the page. Filter the embedded view to the same client as well.
