T117 Producer handoff brief

Producer handoff brief

Two event producers reviewing notes together in a production office

State as of Sep 28, 2026 Handoff accepted by Oct 14 3 commitments without an owner Internal

Everything the incoming producer needs to take over the Verrano Instruments account: 31 open items, 9 commitments made to Verrano and 12 supplier dependencies, each with an owner and a date. Prepared by the departing associate producer, who leaves on Oct 16, for the incoming Sablewood producer and the account director. Simone Vrabec, Executive producer, confirmed the brief with both producers, and Kofi Adjei, Managing director, assigned the three commitments that had no owner.

Internal page

This page stays inside Sablewood Events. It names supplier dependencies and commitments in working detail. Share a client version only after the account director has reviewed it.

Sample template: the firm, people, clients and figures are fictional.

Open items by area

Speaker travel is highlighted because it holds two commitments that were made in calls and never written down. Supplier follow-ups is the largest area with 9 items.

Live example from the Dashboards app, shown with Verrano Instruments' demo data. Block dates move forward each week, so they can differ from the sample dates on this page.

Commitments made to Verrano

Nine commitments were made to Verrano Instruments. Six have an owner. Three had none until Kofi Adjei assigned them, and they show here as unowned until the handoff is accepted.

3 commitments have no owner, and 2 were never written down

Commitments 7, 8 and 9 had no owner on Sep 28. Commitments 7 and 8 are speaker travel promises made in calls with Verrano. They lived only in the memory of the departing producer until this brief wrote them down. If they are not claimed, a keynote speaker could arrive without a confirmed hotel night or transfer.

Owner. Kofi Adjei assigned all three. Ask. The incoming producer confirms 7 and 8 with Verrano in writing by Oct 8, and Simone Vrabec sends the next Friday note on Oct 2.

Supplier dependencies

Twelve supplier dependencies are open. Five wait on an input or a decision from Verrano (numbers 1, 6, 8, 9 and 12), and they match the inputs on the supplier status page.

How an item moves

stateDiagram-v2
  [*] --> Open
  Open --> Written: Written into the brief
  Written --> Claimed: Owner named
  Claimed --> Closed: Done and logged
  Open --> Claimed: Owner already known
  Closed --> [*]

An item is not handed over until it is written down and claimed. Commitments 7 and 8 are Claimed today (owner named) and move to Closed once the incoming producer confirms them with Verrano in writing by Oct 8.

Handover checklist

Before Oct 14
✓Prepare the brief with open items, commitments and dependencies. Owner: departing associate producer, done
✓Confirm the brief with both producers. Owner: Simone Vrabec, done
✓Assign the three commitments without an owner. Owner: Kofi Adjei, done
Write commitments 7 and 8 into the log and confirm them with Verrano. Owner: incoming producer, Oct 8
Walk the incoming producer through the 12 supplier dependencies. Owner: departing associate producer, Oct 9
Introduce the incoming producer to Nathaniel Obuya. Owner: Simone Vrabec, Oct 12
Accept the handoff. Owner: incoming producer and Simone Vrabec, Oct 14

Nothing should be promised to Verrano twice. If a commitment is not in the brief with an owner, it does not get handed over.

What the brief shows

Live example from the Dashboards app, shown with Verrano Instruments' demo data.

Who is on this handoff

How to use this template

Prepare the brief before a producer changes. List every open item, commitment and supplier dependency with an owner and a date, and name any commitment with no owner or no written record.

VariableMeaningRequired
{{handoff.date}}Date the handoff is acceptedRequired
{{producer.outgoing}}Producer who is leavingRequired
{{item.open_rows}}Open items by area with ownerRequired
{{commitment.rows}}Commitments made to the client with owner, date and written recordRequired
{{dependency.supplier_rows}}Supplier dependencies with what each waits onRequired
{{commitment.unowned_list}}Commitments with no owner or no written recordOptional

If a required value is missing, show Needs review in its place and hold the handoff; never guess an owner or a date. If the register cannot be read, show Unavailable instead of the counts.

The live Dashboards blocks on this page show the Verrano Instruments demo profile. Point each block at your own client's profile, or remove it, before you share the page.
