T116 Delivery acceptance and final invoice

Delivery acceptance and final invoice

An event account director and a client closing out a project after teardown

Status as of Sep 28, 2026 9 of 12 accepted Final invoice waiting 18 days Client-visible

The acceptance record for the Verrano sales kickoff, delivered on September 10, 2026 for 140 attendees: what Verrano Instruments has accepted, what is still open, the badge defect with its agreed credit, and the steps that release the final invoice. Prepared by the Sablewood account director for Nathaniel Obuya, Head of marketing events at Verrano Instruments, and for Verrano accounts payable.

Sample template: the firm, people, clients and figures are fictional.

Twelve deliverables, nine accepted

Each square is one deliverable of the sales kickoff. Nine are accepted and three are not yet accepted: the edited highlight video, the photo library and the attendee badges, which carry the defect.

Live example from the Dashboards app, shown with Verrano Instruments' demo data. Block dates move forward each week, so they can differ from the sample dates on this page.

Deliverable by deliverable

The agreed acceptance window is 10 business days from the event. For the kickoff on Sep 10 that window ended on Sep 24. Nine deliverables were accepted inside it. Three were not, so the new date of Oct 9 below is an agreed exception, not the standard window.

The badge defect and its credit

Defect and credit
Defect60 attendee badges were misprinted at the sales kickoff.
Credit$450, approved by Kofi Adjei, Managing director at Sablewood Events.
How the credit is shownAs its own line against the final invoice, so the invoice amount of $86,400 is not edited.
What closes the defectNathaniel Obuya records acceptance of the badge deliverable with the credit noted.
Who decidesKofi Adjei resolves the exception as account owner. Verrano confirms it is settled.

60 misprinted badges, settled with a $450 credit

The 60 misprinted badges are the only defect on the kickoff. The credit of $450 is approved but acceptance of the badge deliverable is not yet recorded, so the badges still count as not accepted. Owner. Kofi Adjei. Date. Credit shown on the final invoice when it is released.

Two items are holding acceptance: the highlight video and the photo library

The edited highlight video and the photo library are not delivered. The video editor is also working on the Verrano Summit, and Verrano did not know the video was the item holding acceptance. Nathaniel Obuya has agreed to accept the kickoff once both are delivered. Owner. Simone Vrabec, Executive producer. Date. Deliver both by Oct 7 and record acceptance by Oct 9.

What the record shows

The credit is approved. Acceptance should not stall because of a video Verrano did not know was holding it.

How to use this template

Record acceptance for each deliverable after an event, name the open reason for any that are not accepted, and release the final invoice only when acceptance is recorded under the contract.

VariableMeaningRequired
{{event.name}}Event whose deliverables are being acceptedRequired
{{deliverable.rows}}Each deliverable with status, acceptance date and open reasonRequired
{{defect.list}}Open defects with count, credit and ownerRequired
{{invoice.amount}}Final invoice amountRequired

If a required value is missing, show Needs review in its place and hold the invoice; never guess an amount, a credit or an acceptance date. If the record cannot be read, show Unavailable instead of the counts.
