T113 Client change decision log

Client change decision log

An event producer and a client reviewing a change request on a venue floor during build

Status as of Sep 28, 2026 2 changes waiting on a decision 1 change started before a decision Client-visible

Every change Verrano Instruments has requested for the Verrano Summit 2026 on November 12 and 13, with its price and its decision, so that no work starts before the decision is recorded. Prepared by the Sablewood producer for Nathaniel Obuya, Head of marketing events at Verrano Instruments, and for Verrano procurement. Fourteen changes are logged: 6 included at no cost, 4 priced and accepted for $21,300 in total, 2 declined and 2 waiting on a decision.

Changes by area of the event

Read the table by row. Each row is an area of the summit and each column is a decision state, so the numbers across a row add up to the total for that area. Agenda and sessions has the most changes (4). Stage and set and Agenda and sessions each hold one change that is still waiting on a decision.

Live example from the Dashboards app, shown with Verrano Instruments' demo data. Block dates move forward each week, so they can differ from the sample dates on this page.

The Verrano Summit change log

The view lists the 14 changes of the Verrano Summit, one row for each, with its status, owner, producer, supplier, budget and approval status. Read the Approval status column first: 10 changes show Approved, 2 show Pending and 2 show Not requested because they were declined. The two Pending rows, Keynote stage layout and Customer panel session, are the ones that need Verrano this week.

Before you share this page with a client

The embedded view is filtered to Verrano Instruments, and the database also holds other clients' records. Keep the embed on a view filtered to the client the page is shared with, and check the filter before every send.

What is waiting on Verrano

Two changes have no decision yet. Both will be priced before any supplier call, and both are decided by Oct 8.

From requested to accepted

The chart starts at the 14 changes requested. It takes off the 2 declined and the 2 waiting, which leaves 10 that are included or priced and accepted. Those 10 split into 6 included at no cost and 4 priced and accepted.

No work before a decision

The change rule
How a change is handled
Change ruleNo production work before a recorded inclusion or price decision.
Where requests goThrough the project space only. Nathaniel Obuya agreed to send every request there, so a text message or a hallway request is not yet a request.
Who checks feasibilitySimone Vrabec, Executive producer, with the supplier named in the log.
Who decides the commercial outcomeKofi Adjei, Managing director: included, priced, absorbed or declined. Both open changes are priced before any supplier call.
Who approvesNathaniel Obuya approves the change inclusion and price. The approved version returns to the log and only then does supplier work start.
What the log countsEach change shows requested, priced, decided and accepted, plus any cost absorbed and any work started before a decision.

Stage extension: started before any decision, $1,900 absorbed

The request to extend the main stage reached a Sablewood producer by text message during a site visit. Work started on Aug 18 with Brindlemoor Staging and the request never reached the change record until Brindlemoor invoiced it. Sablewood absorbed the $1,900, so Verrano pays nothing for it, and the change is included at no cost.

Why it matters. This is the one change in the log that started before a decision. It is the reason the rule above exists and the reason the log counts work started before decision. The extension is still In production and due Oct 8.

Price the Keynote stage layout and the Customer panel session before any supplier call. Owner: Kofi Adjei, Oct 5
Choose the keynote format so Brindlemoor Staging can reprice. Owner: Nathaniel Obuya, Oct 7
Decide both open changes. Owner: Nathaniel Obuya, Oct 8
Record both decisions in the log and book supplier work. Owner: Simone Vrabec, Oct 9

A change is real when it has a price and a decision in the log. Until then it is a question, and no supplier gets a call.

How to use this template

Log every change request as soon as it arrives, set its price and decision before any supplier call, and update the log when Verrano decides. Keep the area table and the embedded view in step with the log.

If a required value is missing, show Needs review in its place and hold the page; never guess a price or a decision. If the log cannot be read, show Unavailable instead of the counts.

The live Dashboards blocks on this page show the Verrano Instruments demo profile. Point each block at your own client's profile, or remove it, before you share the page. Filter the embedded view to the same client as well.
