What has arrived and what has not

Six items were requested for the review: beneficiary confirmations, the 2025 tax return, two insurance statements and a Social Security estimate for each spouse. Four have arrived through the secure request. Two are outstanding, and both are held by someone outside the household. Each square below is one item.

Who holds each item

The table lists the six requested items. "Who holds it" is the person or organization that has the document today, which is who Quillfield asks when an item is late.

Everything still open before the review

The board below shows every open item by status. Waiting on household means the next move is Anne and Gerald's. Waiting on third party means a custodian, insurer, provider or accountant holds it. In progress means Quillfield is working on it, and Requested means the request has gone out. The view lists 18 items across six households. Seven belong to the Abernathy household: three are Waiting on household (IRA consolidation transfer form, Trust certification signed by both trustees, Identification documents for both trustees) and four are Waiting on third party (2025 tax return, Long-term care policy statement, 401k rollover deposit, Variable annuity statement).

Before you share this page with a client

This sample view holds the records of several households: the Yusuf, Dufresne, Iverson, Castellano and Moreno households as well as the Abernathy household. Switch the embed to a view filtered to the household you are sharing with before you send this page to anyone. One record, Adviser preparation for the Iverson review, is marked Internal only and must never appear in a view a household can open.

Chasing an item held by someone else

An item held by a third party follows the same steps every time. The steps below show where the 2025 tax return stands. The household accountant has not answered two requests, and Anne authorized Quillfield to request the return from the accountant directly.

✓First request, Sep 10
✓Second request, no answer
✓Anne authorizes a direct request

Any item waiting more than 14 days goes on Rebecca Stroud's list for a call. These four items sit with third parties today.

Authorization to contact the accountant

Anne authorized Quillfield to request the 2025 tax return from the household accountant directly. Quillfield asks the accountant for that return only, and any other request to the accountant needs Anne's approval first. Documents move through the secure request, not through email attachments.

Why the days waiting differ from the days since the request

Days waiting run from the date an item was requested to September 29. The 2025 tax return and the long-term care statement were requested on September 10, the 401k rollover deposit on September 17 and the variable annuity statement on September 23. The IRA consolidation transfer form was requested on August 19, which is why it shows 41 days.

What the household can do now

Household checklist
✓Beneficiary confirmations sent through the secure request
✓Social Security estimates for Anne and Gerald uploaded
Anne signs the corrected IRA transfer form. Rebecca Stroud submits it before the Oct 15 review
Both trustees sign the trust certification. Rebecca Stroud sent the form, and the trust account needs to open by Oct 20
Upload one identification document for each trustee through the secure request

The table below is the same Abernathy list as the board, with the days each item has waited and who holds it.

The household should never have to ask us what is still missing. If an item is on the list, the list says who has it and when we next ask for it.

How to use this template

Keep one list for each review. Add every item the review needs when the review enters preparation, record receipt as items arrive, and name who holds each item that is still outstanding.

VariableMeaningRequired

If a required value is missing, show Needs review in its place; never guess a status or a date. If the request record cannot be read, show Unavailable and do not report an item as received.
