Program sponsor review

A training provider meeting a hotel group sponsor

Program period to Sep 28, 2026 Pilot completion 19 of 24 Retention not measured 2027 renewal question open

One record of what happened in the Kittridge new manager program from August 24 to September 28, 2026: attendance, assignments and completions, with what is not measured marked as not measured. Prepared by Joaquin Ibarra, program operations director at Saltbridge Academy, for Olivia Holloway, head of learning and development at Kittridge Hotels Group, ahead of the 2027 budget discussion. The pilot cohort that finished on August 21 is included. Figures come from the same learner and action records the program team works from.

Sample template: the firm, people, clients and figures are fictional.

What happened

Program activity, Aug 24 to Sep 28, 2026
CohortsThree cohorts of 28 learners each: 84 learners from 28 Kittridge hotels
AttendanceAveraged 88 percent across the three cohorts, every live session through Sep 28. The completion rule needs 80 percent.
AssignmentsFour learners have not submitted the first assignment: one was due Sep 18 and three were due Sep 25
Exceptions13 learners are on the exception board, grouped by cause. Nine missed two or more sessions, and five of the nine missed them after hotel shift changes.
Pilot completions19 of the 24 pilot learners meet the completion rule, a rate of 79 percent. Three wait only for a manager sign-off, needed by Oct 9. Two are attendance cases for Olivia Holloway and Haruka Okada to decide.
Sponsor actions2 of 6 actions that only Kittridge can take are done. The oldest, workplace mentors for the four coastal hotels, has been open 16 days. Olivia took it and set October 7.
RetentionNot measured. The program holds no manager retention data for Kittridge.

Attendance by cohort

Attendance fell over the first five sessions in Cohorts A and B, from 96 to 80 in Cohort A and from 95 to 80 in Cohort B, and Cohort A came back to 88 at its sixth session. Cohort B has had five sessions and Cohort C four, from 97 to 86. The completion rule looks at each learner's own attendance across the program, so a session at 80 is a watch point and not a breach. The note on the chart is the shift conflicts: five learners missed sessions after hotel shift changes, the same five who sit on the exception board.

Average attendance across the three cohorts: 88, against the 80 percent the completion rule needs
88%

Hotels

Each point is one of the 28 Kittridge hotels, with attendance across and assignments done up. Seafront sits at 88 on attendance and 77 on assignments done, and it also has three learners on the exception board, all after hotel shift changes. Read the chart as a reason to talk with a hotel's general manager, not as a ranking. Hotels differ in size and the points are not adjusted for it.

Measured and not measured

The table separates what the record can support from what it cannot. A line marked Not measured is not an estimate with a caveat. It is a gap.

MeasureStatusWhat the record showsWhat it can and cannot say
Attendance at live sessionsMeasuredAverage 88 percent across the three cohorts, every live session through Sep 28Who came to which session. It does not say what was learned.
Learners on trackMeasured71 of 84 on track; 13 on the exception board, each with a causeWho needs action and who owns it.
First assignment submittedMeasuredFour learners have not submitted itA work gap in four learners, not a quality judgment.
Pilot completion against the ruleMeasured19 of 24, or 79 percent; 3 wait for a sign-off; 2 are short on attendanceThe pilot cohort only. The three current cohorts have not finished.
Sponsor actionsMeasured2 of 6 done; the oldest open 16 daysWhat Kittridge owes the program, and for how long.
Completion of Cohorts A, B and CNot due yetTarget completion on Dec 4, Dec 11 and Dec 18Nothing yet. It can be reported only after each cohort finishes.
Link to manager retentionNot measuredNo retention data in the program recordNothing. No figure, estimate or trend is stated.

Retention is not measured

Kittridge asked for a link between the program and manager retention. The program records attendance, assignments and completions. It holds no retention figures for Kittridge managers, so Joaquin Ibarra showed the results that were measured and marked retention as not measured instead of estimating it.

Even with retention data from Kittridge, a comparison would show whether managers who took part stayed, not why they stayed. Next step: agree with Olivia Holloway which retention data Kittridge can share for the January review, for example counts of first-time managers who left, by cohort and hotel, with names kept inside Kittridge.

Questions for next year

  • Agree which retention data Kittridge can share for the January review. Owners: Joaquin Ibarra and Olivia Holloway, by Nov 20.
  • Decide the two pilot attendance cases: catch-up extension or no certificate. Owners: Haruka Okada with Olivia Holloway, by Oct 9.
  • Confirm the coastal mentors are assigned before the October 12 module. Owner: Olivia Holloway, by Oct 7.
  • Can Kittridge give the program team early sight of hotel shift changes, so conflicts show before a session and not after? Owner: Olivia Holloway, answer by Nov 13.
  • Decide whether the program renews for 2027 and in what form. Owner: Olivia Holloway, in the 2027 budget discussion after the January review.
  • Mark retention as not measured instead of estimating it. Owner: Joaquin Ibarra, done.

I would rather take a page to finance that says retention is not measured than a number nobody can check. Tell me what data you need from us and I will find out what we can share.

How to use this template

Build one review per program period from the same learner and action records the team works from. Report what was measured, mark everything else as not measured, and list the open questions with an owner and a date.

VariableMeaningRequired
{{client.name}}Client organization the review is forRequired
{{period.range}}First and last date of the program periodRequired
{{kpi.rows}}Learners on track, average attendance, pilot completions and sponsor actions doneRequired
{{attendance.by_cohort}}Attendance at each live session for each cohortRequired
{{site.points}}Attendance and assignments done for each client siteOptional
{{measure.status_rows}}Each measure marked Measured, Not due yet or Not measuredRequired
{{retention.status}}State of retention data and what the client can shareRequired
{{question.next_year}}Open questions with owner and dateOptional

If a required value is missing, show Needs review in its place and hold the review; never fill it with a guess. If a measure has no data, show Not measured or Unavailable and do not estimate it.
