T47 Product feedback triage notes
Product feedback triage notes

How we sort every incoming Relay API request into evidence, plan or decline, and the decisions made this cycle. Prepared by Product for the customer-facing leads who submit requests. Request names, accounts and reach figures in this template are synthetic sample data.
Sample template: the firm, people, clients and figures are fictional, and the embedded view holds synthetic sample records.
Live example from the Dashboards app, shown with Willow & Peak's demo data.
Triage rules
| Reach | Signal quality | Rule |
|---|---|---|
| Under 5 | Any | Stays New until reach grows or a second account asks |
| 5 to 14 | Clear problem statement, no evidence link | Move to Needs evidence; request an interview or ticket link |
| 5 to 14 | Evidence link attached | Move to Triaged for the weekly decision meeting |
| 15 or more | Any | Move to Triaged immediately, regardless of evidence link |
| Any | Data-loss or security risk | Move to Needs evidence at Urgent priority, reproduce before triage |
The evidence table
Sorted by reach, highest first. Reach counts distinct accounts or interviews citing the request; it is a proxy for demand, not a promise to build.

Decisions this cycle
| Request | Source | Reach | Decision | Rationale |
|---|---|---|---|---|
| Workspace usage dashboard | Internal, Customer success team | 30 | Now used in renewal preparation | |
| Template gallery search | Research, onboarding study | 25 | Broad reach at small effort, December release | |
| Form conditional logic | Research, intake study | 22 | High reach; needs design work for nested conditions | |
| Due date reminders to clients | Research, several agencies | 21 | Strong evidence across interviews and support tickets, October release | |
| Accounting sync failures | Support, Pine Hollow | 1 | One account reports invoices silently failing; possible data loss, reproduce before prioritizing |
Declined this cycle
Portal payment requests, declined
Requested by Maple Crest Realty through the sales pipeline, reach 6: collect client deposits inside the portal. Why declined: payment processing adds compliance scope beyond what a small engineering team can support this year. Revisit: with an integration partner in 2027, not before.
Internal design request, no customer evidence, large theming effort. Declined for now; revisit if customer requests appear.
Requested by Yarrow Design, one account, reach 1. Declined: logo and color options already cover most agency needs, and fully custom HTML adds a security review for a single account.
Follow up with requesting customers
Reach tells us how many accounts asked. It never tells us whether the fix is small enough to ship this month; that is still a judgment call in the Friday meeting.
Waiting on evidence
These requests stay in Needs evidence until we can reproduce them or gather more interviews: custom approval states, the accounting sync failure above, two-way CRM contact sync, portal language options and time tracking on tasks. None move to Triaged until that evidence exists, no matter how urgent the priority label reads.
Two out of five. Pine Hollow has reported the failure only once and has not replied to our last two follow-up messages, so reproduction depends on hearing back from them first.
How to use this template
Run this triage weekly with product and the customer-facing leads who log requests. Replace the values below; if a required value is missing, show Needs review instead of guessing a decision.
| Variable | Meaning | Required |
|---|---|---|
{{request.name}} | The feature or fix requested | Required |
{{request.reach}} | Distinct accounts or interviews citing the request | Required |
{{request.decision}} | Planned, Building, Released, Declined or still Triaged | Required |
{{request.rationale}} | Why the decision was made | Required |
{{request.decision_owner}} | Who made or owns the decision | Required |
{{request.target_release}} | Planned release window, if any | Optional |
Before closing the meeting: every item moved to Declined has a rationale and a revisit condition, never a bare "no".
