T36 Client acceptance testing sign-off
Client acceptance testing sign-off

A guided walkthrough for Beacon to test the invoice PDF template refresh in staging and record sign-off or defects before Ironleaf Software releases it. Prepared by Priya Nair, Technical Lead, for Tomas Lind, Beacon's Finance Systems Owner.
Sample template: the firm, people, clients and figures are fictional, and the embedded view holds synthetic sample records.
Live example from the Dashboards app, shown with Cedar & Stone's demo data.
How to test
Staging link: https://staging.beacon.example/release-notes/2026.10. Test with at least three invoice types: standard, credit memo and part-paid.
Why this batch matters
Beacon's finance team relies on these PDFs for supplier and auditor packets, so a formatting defect here is a business problem, not a cosmetic one. That is why every test case below checks totals and layout, not only that the page renders.
Client validation queue
The table below shows every work item currently waiting on a client to test and record a result, across all Ironleaf clients. Find the rows under Client or product = Beacon billing app to see what is waiting on you; everything else belongs to another client's batch.
Before you share this page with a client
This queue lists Client validation work for every Ironleaf client, not only Beacon. Before sharing this sign-off page, switch the embed to a saved view filtered to Beacon, or duplicate the page and filter it first.
Test cases
| # | Test case | Invoice type | Result | Note |
|---|---|---|---|---|
| 1 | PDF matches the approved brand template | Standard | Logo, colors and footer match the approved design | |
| 2 | Totals match the pre-refresh invoice exactly | Standard | Checked against 10 sample invoices | |
| 3 | Credit memo shows a negative total, not a blank field | Credit memo | Total field showed $0.00 instead of the negative amount | |
| 4 | Part-paid invoice shows amount due, not total invoiced | Part paid | Verified against 5 part-paid invoices | |
| 5 | PDF opens correctly in Acrobat, Preview and Chrome | Standard | No layout shift across the three readers |
Test case 3 was fixed and retested
The credit memo total defect (case 3) was reported Sep 19, fixed by Priya Nair the same day and retested by Beacon on Sep 20 with a Pass. The overall batch result recorded on the work item is Passed because every case passed by the close of testing.
Defects found this round
| Defect | Severity | Found in | Status |
|---|---|---|---|
| Credit memo total showed $0.00 instead of a negative amount | Medium | Test case 3 | Fixed, retested Pass |
| Footer text slightly overlapped on part-paid invoices under 3 line items | Low | Test case 4 | Fixed, retested Pass |
No High or Critical severity defects were found in this batch. Both defects were caught during Beacon's own testing rather than in production, which is the outcome this sign-off step exists to produce.
Sign-off
| Role | Name | Decision | Date |
|---|---|---|---|
| Technical lead, Ironleaf | Priya Nair | Ready to release | Sep 20, 2026 |
| Finance Systems Owner, Beacon | Tomas Lind | Needs review |
The batch is not released to production until both rows above show a decision and a date.
How to use this template
Duplicate this page once per client acceptance batch. Replace these values; if a required value is missing, show Needs review instead of guessing.
| Variable | Meaning | Required |
|---|---|---|
{{client.product_name}} | Client product the acceptance batch covers | Required |
{{batch.work_item_name}} | Work item under test | Required |
{{test.case_results}} | Result of each test case, Pass or Fail | Required |
{{defect.severity_detail}} | Defects found, with severity and fix status | Required when a defect is found |
{{signoff.client_owner_name}} | Client owner who signs off | Required |
{{batch.staging_link}} | Link to the staging environment for testing | Optional |
Before sharing: confirm the embedded queue is filtered to this client only, and never invent a Pass result without a client sign-off.
