Content production board and editorial meeting

An editorial team walking through a content production board

Weekly editorial, Wed 10:00 34 assets active Producing stage overloaded Tallgrass Studio

The weekly meeting where the managing editor, writers and designers walk the live production board stage by stage and decide what moves, what waits and who needs help. Prepared by Nora Kim, Managing Editor, from the shared production database that backs every active client campaign.

An asset can bounce backward from Internal review or Client review; that is expected editorial work, not a problem, unless it happens more than once on the same card.

The live board

Workflow board

Cards are grouped by stage and show the asset name, owner, priority, publish date and asset type. Producing is the widest column this week, which is the first thing we address in the meeting.

Bottleneck: Producing has 8 assets against 5 active producers

Eight assets are in Producing right now, more than any other stage. One of them, Onboarding webinar deck (owner Maya Chen, producer Dan Wells, Urgent priority), publishes tomorrow, Sep 24, but has not yet moved to Internal review. We need: Dan Wells prioritizes this over Portal walkthrough video today, or Priya Nair takes the review pass so it can still hit Client review by end of day. If it slips, the Sep 24 onboarding webinar date has to move, which affects three downstream nurture emails already scheduled around it.

Capacity

Capacity by person

Active means anything not yet Published. This is a load check, not a performance review; someone with 7 active items and no urgent deadlines is fine, someone with 3 items all due this week is not.

PersonActive assetsIn Producing nowNext publish dateNote
Maya Chen72Sep 24, Onboarding webinar deckUrgent item, see bottleneck above
Sara Ortiz71Sep 25, Webinar last-chance emailSteady load, no risk items

Owen Brooks52Oct 8, Portal launch nurture email 2
Nora Kim21none scheduledLight load, can pick up review support
Dan Wells11none scheduledProducer on the at-risk webinar deck

Nora Kim has the lightest load this week and is the natural person to pick up an extra review pass if Producing stays backed up next week too.

Findings from the board walk

Moving well
  • Client review has 6 assets and none are stuck longer than one round, which is healthy for this stage.

  • Scheduled has 4 assets, all with confirmed publish dates in the next two weeks and no conflicts.

  • The Autumn webinar campaign (5 linked assets across Briefing, Producing and Client review) is fully staffed and on schedule.

Watch
  • Automation playbook teaser and Partner co-marketing ebook both sit in Client review with an Approval status of Changes; both need a revised draft before the next round, not just a follow up email.

  • Retention series has three assets spread across three different stages (Internal review, Client review is not yet reached), which makes it hard to see as one campaign on the board; consider a saved filter for it.

At risk
  • Onboarding webinar deck, covered above.

  • Benchmark findings short video has an Approval status of Changes in Internal review with a publish date of Oct 16; low urgency today but worth a second look next week if it has not moved.

Decisions

Decisions from this meeting

Editorial decisions
Dan Wells finishes the Onboarding webinar deck draft today, Sep 23, so Internal review can happen before end of day
Priya Nair backs up the review pass if Dan Wells cannot finish by 3:00pm
Nora Kim picks up review support for Producing next week if the column is still above 6 assets
Automation playbook teaser and Partner co-marketing ebook get revised drafts before their next Client review round
✓Retention series gets a saved board filter so its three assets are visible together

Autumn webinar campaign, fully staffed

All five linked assets have an owner, a producer and a reviewer with no gaps, and every publish date sits before the Sep 29 registration deadline. No action needed this week.

Next steps

  1. Nora Kim confirms with Dan Wells and Priya Nair by 3:00pm today whether the webinar deck review happened.
  2. Owen Brooks reports back on the Security FAQ page brief status, currently in Briefing with an Urgent priority and no producer assigned yet.
  3. Next editorial meeting: Wednesday, Sep 30, 2026, 10:00am.
How to use this template

Run this meeting weekly with the managing editor, writers and designers who own active assets. Fill the capacity table from the board at the start of the meeting; if a person's load has not been checked that week, write Needs review instead of an old number.

VariableMeaningRequired
{{meeting.date}}Date of this editorial meetingRequired
{{board.active_count}}Total assets not yet Published, from the workflow boardRequired
{{bottleneck.stage}}The stage with the most active cards or the tightest deadline pressureRequired
{{capacity.person_count}}Each person's active assets and items currently in ProducingRequired
{{decision.owner}}Named owner for each decision made in the meetingRequired
{{campaign.status}}Flag for a named campaign that is fully staffed or at riskOptional

If a bottleneck has no owner named for a fix by the end of the meeting, it carries forward to next week's agenda rather than being marked resolved.
